Why payroll should read attendance directly

When attendance lives on a fingerprint device and payroll lives in a spreadsheet, every month-end becomes a reconciliation project. It does not have to.

Many institutions already own biometric attendance devices. The problem is what happens next: someone exports the punches, cleans them in a spreadsheet, works out who was late and who did overtime, and hands the result to whoever runs payroll — who types it into another system. Every step is a chance for an error, and every error becomes an argument on payday.

One database instead of three files

In Orbit ERP, attendance devices sync into the same database that HR and payroll use. Work shifts are defined once. Late minutes and overtime are calculated from the punches against each employee's shift — not re-typed by hand.

Payroll then reads those figures directly. Salary rules are formulas: allowances, deductions, and advances are applied the same way every month, and payslips come out of the same records HR maintains.

What changes at month-end

The work moves from building the numbers to reviewing them.

  • No export-and-import step between the attendance device and payroll
  • Late minutes and overtime follow the shift rules, not individual judgement
  • HR, payroll, and finance look at the same figures, so disputes are about policy rather than data
  • Management dashboards show headcount and salary totals without a separate report being built
